Job Summary - Essential Functions:

 

This position reports to the Deputy CEO and is located in the Executive Office.  The role of the Administrative Assistant will be supervised on a day-to-day basis by the Executive Secretary.  The primary purpose of this position is to serve as an Administrative Assistant providing Authority-wide support to different departments as the need arises, and as such, perform a comprehensive range of procedural, administrative and secretarial functions.  The Floating Administrative Assistant must be multi-talented and able to assist with a variety of administrative tasks.

 

The essential responsibilities include the following: 

  • Provide direct administrative support to the Deputy CEO
  • Support the Maintenance Department with administrative duties, including inventory, work order data entry, processing purchase orders and check requests, and other administrative support as needed
  • Assist the Facilities Department by providing general administrative support and assistance with office-related projects
  • Provide secretarial and administrative support by assisting the team, managing a wide variety of daily functions including, but not limited to, the editing and proofreading of various documents, preparing and binding presentations, filing, photocopying, data entry, and expense report filing
  • Maintain and update appropriate calendars and schedules related to meetings and appointments
  • Maintain conference rooms, setup for both meetings and catering
  • Provide back-up support for the Executive Secretary related to Board of Director duties
  • Perform special projects and assume certain responsibilities as assigned
  • Provide general administrative support and office duties to various departments, as needed
  • Work proactively with both union and management staff.
  • Provide timely, reliable, and effective reports and communications, both written and oral.
  • Participate as an effective member of the CATA administrative team and perform all duties described.
  • Know and perform all job duties within essential functions and as directed by CATA management, policies, procedures and contractual agreements.

  

Reports to:      Deputy CEO                                                     Starting Salary:           $18.60 – $24.17 per hour

 

 

Qualifications:


  • Bachelor's Degree preferred
  • Must have at least five years relevant experience in administrative support
  • Must have exceptional organizational skills
  • Advanced computer skills, including Microsoft Office Suite and other current computer applications used at CATA
  • Proficient typing, transcription, proof reading, and data entry skills are required
  • Ability to prioritize, multi-task and handle multiple responsibilities in a fast-paced environment
  • Able to communicate effectively using strong communication skills, attention to details, meet deadlines, and work both independently and under general direction
  • Flexibility and willingness to take on additional responsibilities as assigned
  • Cooperative, willing to work with and learn from others, and able to respond productively to change
  • Punctual and reliable attendance as necessary to meet on-going service requirements for public transportation
